Follow these steps to create a calendar event that can be opened directly from the interactive whiteboard installed in the conference room.
The conference room must be added to the event as a room resource. This allows the event to appear automatically in the calendar displayed on the whiteboard. Participants in the room can then open the event and join the video conference using the whiteboard’s camera, microphone and speakers.
Open Google Calendar and click the desired date and time slot.
A new event window will open automatically.
Enter a clear title for the meeting.
You can also:
adjust the date and time;
add participants using Add guests;
add a description or attach relevant files;
change notification and visibility settings.
Click the arrow next to Add Google Meet video conferencing.
Select the conferencing platform you want to use:
Google Meet
Microsoft Teams Meeting
Zoom Meeting
Microsoft Teams and Zoom will be available only if their respective Google Calendar add-ons have already been installed and configured.
Click Add rooms or location.
Use the search field to look for the conference room, or select Browse all rooms & resources to view the complete list.
Important: select the room as a Google Calendar room resource. Do not enter only the room name in the free-text Add location field, otherwise the event may not appear on the room’s whiteboard calendar.
Rooms are grouped by building and floor.
Expand the relevant building section and select the room where the meeting will take place. Check the room name, floor and capacity before confirming your selection.
Click Save.
The selected room will receive the booking request and the event will appear in the calendar associated with the conference-room whiteboard.
At the scheduled time, participants can open the event directly from the whiteboard and select the video-conference link to join the meeting.
